MedEMS is the system we use to manage medical equipment. It keeps the equipment register together with the organizations and sites the equipment is placed at, the contracts that cover it, and the maintenance and repair reports raised against it.
You see the records you have access to. What you can open, change or export depends on your role, so a list may hold fewer rows for you than it does for someone else.
Signing in
Every account is created by a manager; there is no sign-up page, so ask your administrator if you need one. To sign in, open the sign-in page and enter your email address and your password.
A password is never enough on its own. After it we email a short code to the address on your account, and you enter that on the next page to finish signing in. The code is sent on every sign-in, so keep access to that mailbox.
If your organization uses Google to sign in, choose "Continue with ..." instead of the password form; an enrolled passkey or authenticator app works in the same way. Either of those is a second factor of its own, so no code is emailed after them.
Passwords and signing out
- Forgotten your password? Use the "Forgot your password?" link on the sign-in page. We email a link to the address on your account, where you choose a new one. A password is never changed from inside a signed-in session.
- Once you are signed in, you can add or manage passkeys and authenticator apps under "Sign-in and security" in the user menu.
- To sign out, open the user menu at the foot of the sidebar and choose "Sign Out". Do this on any shared computer.
The dashboard
The dashboard is the home page you land on after signing in. Its cards count the records you can see and link to the full lists, where you can search, filter, sort and export. The charts underneath summarise equipment by model and type, reports raised per month, and how long reports take from opening to their last recorded state.
